Working on the onboarding together

Getting Started as an HR Admin 5 min readUpdated yesterday

Invite colleagues to your onboarding, see who is online and which step they are on, and use the chat to ask each other and CLVR questions.

You don't have to set up CLVR alone. Everyone you invite gets a link of their own and works in the same onboarding as you. CLVR reads the chat and answers there.

Invite someone

1
Select the people at the top right of the onboarding. Working together opens.
2
Select + Invite someone to this onboarding.
3
Enter their Name and Email. If your group has several companies, choose under Which companies: All companies or just one.
4
Select Send invite. They get a link of their own by email.

Someone invited to one company can only work on that company. They can only invite others to it too.

See who is here

The people at the top right show who is in the onboarding. Everyone online has a green ring. Under People you see:

GroupWhat it shows
ONLINE NOWWho is here, and the company, step and field they're on.
OFFLINEWhen each person was last seen, or Has not opened the link yet.

Select Jump there to open the step a colleague is on, or where they left off.

On a wide screen, the top bar also shows who is on another step or company, and which field they're filling in.

Work on the same step

When a colleague is on the same step, a line above the form says so, for example Anna is also on this step. You also see their pointer.

The field they're in is outlined in their colour, with their name and is editing. You can't type in it until they leave it, so you don't enter the same thing twice.

If they stop typing, the field shows (idle) after 30 seconds. After two minutes with no activity, it opens up again.

Select Message and their name to write to them in the chat.

If you both save the same step

If a colleague saves the step you're on, their changes come into your form. What you've changed stays as it is.

If your save and theirs cross, you see Someone else changed this step while you were editing. Select Reload to see their changes, or Keep my changes to save yours over them.

The chat

Under Chat you write to everyone in the onboarding. You see when someone is typing. The chat is saved with the onboarding, and CLVR support reads it too. It's the quickest way to get help when you're stuck.

  • Share this step posts a message with a link to the company and step you're on. Whoever opens it lands on the same screen.
  • Type @ and a name to mention someone. If they're offline, CLVR emails them.

Pin what you agree on

Hover a message and select the pin to pin it for everyone. Select Pinned at the top of the chat to see every pinned message, who pinned it and when. Select Show in chat → to find the message in the conversation, or Unpin when it no longer applies.

Share files in the chat

Select the paperclip, or drop files on the conversation. They go with your next message. Everything sent in the chat is listed under Files. Search there by file name or by who sent it.

A file can be up to 25 MB. You can send PDF, Word, Excel, PowerPoint, CSV, PNG and JPG files.

Heads up.

Files sent in the chat are deleted once the onboarding is done: when your company goes live, or for a group, when the last company goes live. The messages stay. To keep a file, or to give your employees a policy, upload it on the Company files step. Those files move into CLVR when you go live.

Keep a to-do list together

Under Todo, type a task and press Enter.

  • Select the circle on the right of a task to give it to someone in the onboarding.
  • Tick its box when it's done. Done tasks move under Completed.
  • Drag a task to change the order.

Hover a task and select ⋮ to Edit, Assign, Reassign or Delete it. You can also double-click a task to edit it. Press Enter to save, or Esc to leave it as it was. After a delete, select Undo within a few seconds to bring it back.

When you give a task to someone, take it off them or give it to someone else, a line in the chat says so, with View task to find it on the list.

A number on Todo shows how many open tasks are yours. The number by the people at the top right adds it to your unread messages.

Settings

Under Settings you choose your Theme and Language for the onboarding.

If other people's pointers get in your way, switch off Show other people's pointers. You still see the outline around a field someone is in, and they still see your pointer.

Plan your go-live date before you're done

On the last step you can save the date you want to go live before every step is done. It's saved as your planned launch date. You can change it whenever you like.

You can't go live until every step is done and you've selected Schedule go live. A week before the planned date, and three days before, CLVR emails you the steps that are left. If the date passes, you get one more email the day after.

Troubleshooting

  • I can't type in a field. A colleague is in it. Wait until they leave it, or until it opens up after two minutes with no activity.
  • A file won't send. It may be larger than 25 MB, or a type the chat doesn't take. Send a PDF, Word, Excel, PowerPoint, CSV, PNG or JPG file.
  • A file in the chat is gone. Chat files are deleted once the onboarding is done. Upload files you want to keep on the Company files step.
  • I can't see who is here. The live view may be down for a moment. Your work still saves and the chat still works.
