Finding company files shared with you

Company Files 6 min readUpdated 2 days ago

Where Company Files lives in the webapp, what the Beta badge means, and which file types your HR team can share with you.

Company Files is a shared library your HR team uses to keep documents like policies, handbooks, and forms in one place inside CLVR Benefits. Everyone in your company sees the same set of files, so there is nothing to request and nothing private to manage here. As an employee you can browse, open, and download any file; adding and removing files is something only your HR team does. This article shows you where to find Company Files, explains the Beta badge next to it, and lists the file types it supports.

Open Company Files

There are two ways in:

  • Select Company Files in the main navigation, or
  • Go straight to /files in your browser.

The page heading reads Company Files and carries a Beta badge while the feature is still being rolled out.

What you see

The files your HR team has added appear as a set of cards, each showing a file icon, the file name, and the date it was last updated. Two things are worth knowing:

  • Everyone sees the same files. There are no per-person or private files here; the library is shared across your whole company.
  • If the page says No files yet, your HR team simply has not added any company files for your organisation. New files will appear here once they do.

Browse, search, and switch views

Files open in a Grid view by default, with a List view you can switch to using the toggle next to the search box.

  • To find something quickly, type into the Search files box (it filters by file name).
  • Switch to List view to see extra columns: Name, Type, Size, Uploaded by, and Last modified, which you can sort by.

Open or download a file

To open a file, select it once to highlight it, then select it again (or double-click it). What happens next depends on the file type:

  • PDFs and images open in a preview window so you can read them without downloading.
  • Other file types (such as spreadsheets or Word documents) download straight to your device.
Note.

As an employee you can view, open, and download company files, but you cannot upload, rename, or delete them. Those actions belong to your HR team, so you will not see buttons for them.

What the Beta badge means

The small orange Beta badge next to the heading is there on purpose, and it does not mean anything is wrong with your files. A Beta label means the feature is live and ready to use, but we are still refining it. In practice:

  • Company Files works normally. You can browse the files your HR team has shared, search them, switch between Grid view and List view, preview a PDF or image, and download what you need.
  • Small details may still change. Layout, wording, or extra options can be adjusted over time as we improve the experience.
  • Your files stay available and secure. They are kept in private storage and shared only with people at your company who should see them. The Beta badge does not change that.
Note.

Beta is a normal stage for a newer feature. You do not need to do anything differently because of the badge, and you do not need to opt in or out. As Company Files matures, the badge will be removed.

Which file types are supported

Your HR team can share these formats in Company Files:

  • PDF (.pdf)
  • Excel spreadsheets (.xlsx, .xls)
  • CSV (.csv)
  • Word documents (.doc, .docx)
  • Apple iWork (.pages, .numbers, .keynote)
  • Images (.png, .jpg, .jpeg)

In list view, each file is sorted into a simple category that drives its icon and the Type column: PDF, Spreadsheet (Excel and CSV), Document (Word and Apple iWork), and Image.

When you open a file, what happens depends on its format:

  • PDFs and images open in a preview right inside CLVR, so you can read or view them without leaving the page.
  • Every other supported type (Excel, CSV, Word, and Apple iWork files) downloads to your device when you open it, then opens in the app you normally use for that format.

Each file can be up to 10 MB. This limit applies when your HR team uploads a file, not when you open or download one, so there is nothing you need to do about it as an employee. If a document you expected is missing, it may be that the original file was too large to upload.

When a file seems to have disappeared

If a file you remember seeing is no longer in Company Files, it usually has a simple explanation: a search filter is hiding it, your HR team renamed it, the list is slightly out of date, or the file was deleted.

  • Check your search first. The most common reason a file looks missing is that a search is still filtering the list. In grid view the Search files... box sits at the top of the page; in list view it lives in the toolbar above the table. Clear it with the Clear button or by deleting the text to bring every file back. When a search hides everything, the page shows No files match your search rather than an empty page, which is a strong hint that a filter, not a missing file, is the cause.
  • Look for a renamed file. Your HR team can rename any company file, so the same content can appear under a slightly different name. Search for a word you know is part of the file (a month, a year, or a topic) rather than the exact old name.
  • Refresh if the list looks out of date. If you have had the page open for a while, reload it in your browser to pull the latest uploads, renames, or removals.
  • The file may have been deleted. Only your HR team can delete company files, and deletion is permanent: there is no trash or undo, and the file cannot be restored from within CLVR. If a file you need is genuinely gone, ask your HR contact to upload it again.

Troubleshooting

  • The Company Files link is missing. It is available to everyone, so if you cannot find it, refresh the page or sign in again.
  • A file I expected is not there. Your HR team controls what is shared. If something is missing, ask your HR contact to add it, or to confirm whether it was removed. A file that was too large to upload (over 10 MB) may also be missing for that reason.
  • The list looks almost empty. A search is probably still active. Clear it in grid view with Clear, or clear the toolbar search in list view.
  • I see a file with a different name. It was likely renamed, not removed. Open it to confirm it is the one you wanted.
  • I still cannot find it after clearing search and refreshing. It was most likely deleted. Ask your HR team to add it back.
  • A file downloads instead of previewing. That is normal for Excel, CSV, Word, and Apple iWork files. Only PDFs and images preview in CLVR.
  • A format you need is not listed. Company Files supports the formats above only. Ask your HR team to share the document as a PDF, which always previews.
  • Something behaves unexpectedly during beta. If a file does not open, a download fails, or anything else looks off, tell your HR team or your usual support contact and mention what you were trying to do. Your feedback during the beta period directly helps shape how Company Files works.
