Who can see the company files you download

How Company Files access is scoped so only people at your own company can open them, and why uploading, renaming, and deleting are reserved for your HR team.

The files on the Company Files page are shared by your employer with everyone at your own company, and only with them. CLVR stores each file privately and checks who you are every time you open one, so people outside your company can never reach your files, and you can never reach theirs. This article explains how that access works and what to do if something looks wrong.

Who can open a company file

  • Only employees of your own company. When you open a file, CLVR confirms you belong to the company that owns it before giving you the file. Anyone at another company is turned away, even if they somehow get hold of a link.
  • The same files for everyone in your company. Company Files is a single shared space, not a personal folder. There is no per-person area here, so every employee sees the same list. If you need a private document, that is shared with you in a different way, not through Company Files.
  • Your HR team adds the files. Files appear because someone on your HR team uploaded them. As an employee you can search, open, preview, and download them, but you cannot upload, rename, or delete them.

How downloads stay private

Each time you open or download a file, CLVR generates a fresh, secure link just for that action. These links are short-lived and meant for that single download, so they are not something to bookmark or pass around.

  • A link you copied, saved, or shared earlier will stop working once it expires.
  • The same link will not open a file for anyone at a different company.
  • To get a file again, return to the Company Files page and open it from there, which creates a new working link.
Note.

Because links expire quickly, the reliable way to share a company file with a colleague is to point them to the Company Files page, not to send them a download link you copied.

What you can and cannot do

On the Company Files page you can find, search, preview, and download the documents your employer shares with you, but you will not see any way to upload a new file or to rename or delete an existing one. That is by design: those actions are reserved for your company's HR team, so everyone is always looking at the same trusted, up-to-date set of files.

As an employee, the page gives you everything you need to read and keep a copy of a document:

  • Search for a file by name.
  • Switch between Grid view and List view.
  • Open or preview a file (PDFs and images open in a preview, other types download).
  • Download a file to keep your own copy.

The controls for changing the shared library only appear for HR users, so on your own view they are simply not there:

  • The Upload Company Files Here drop area at the top of the page.
  • The Rename file and Delete file actions on a selected file.
Note.

This is not a setting on your account that can be turned on. Managing the company file library is part of the HR role, so the difference is about who looks after the shared documents, not about your individual permissions.

Because you cannot edit the library yourself, the quickest route is to ask the people who maintain it. Contact your HR team if a document is missing and you expected to find it, a file is out of date and needs a newer version, a file has a confusing name and should be renamed, or a file should no longer be shared and needs to be removed. Your HR team can upload, rename, or delete the file, and the change shows up for everyone the next time the page loads.

Hiding the buttons keeps your view clean, but the rules are also checked on CLVR's servers. When a rename or delete is requested, CLVR confirms the request comes from an HR user at the owning company before it makes any change, and refuses it otherwise. So the shared library stays protected even outside the normal screens.

Troubleshooting

  • I can see a file I do not think I should. Everything on the Company Files page is shared with all employees at your company on purpose. If a file looks like it was not meant for everyone, let your HR team know so they can review it.
  • A link I saved no longer works. That is expected, since download links expire. Open the file again from the Company Files page to get a fresh one.
  • A file disappeared from the list. Your HR team may have removed it. Check with your HR contact if you still need it.
  • I want to upload, rename, or delete a file myself. Those actions belong to your HR team, so the buttons do not appear in your view. Ask your HR contact to make the change.
