Open a company file from the grid or list

Company Files 4 min readUpdated 3 days ago

Select and open files on the Company Files page, in either grid or list view, and switch between the two layouts.

The Company Files page is where your employer shares documents with the whole company, like policies, handbooks, and forms. It can show those files two ways: as a grid of cards or as a detailed table. This article explains how to open a file in either view, and how to switch between the two layouts. Opening works the same way in both: select a file, then select it again (or double-click) to open it.

Find the page

Open Company Files from the menu. The page opens in grid view by default, showing each file as a card. If there are a lot of files, use the Search files box to narrow the list by name.

Open a file from the grid

In grid view, each card has a coloured icon for the file type (red for PDFs, green for spreadsheets, blue for documents, purple for images), the file's name, and the date it was last changed, shown as a year-month-day date (for example 2026-05-30).

A single click on a card selects it. The selected card gets a highlighted border and a tinted background so you can see which file is active. Only one file is selected at a time. To clear the selection, click any empty space inside the grid area.

There are two ways to open a file:

1

Double-click any card to select and open it in one go.

2

Or click a card that is already selected, so the first click selects it and a second click opens it.

Tip.

Prefer the keyboard? Use Tab to move focus to a card, then press Enter or Space to select it. Press Enter or Space again on the same card to open it.

Open a file from the list view

The list view shows every file as a row with details like name, size, and when it was last changed, which makes it easy to scan a long list. Each row has these columns:

  • Name: the file name, with a small icon for its type.
  • Type: whether it is a PDF, spreadsheet, document, image, or other file.
  • Size: how large the file is.
  • Uploaded by: who from your company added it.
  • Last modified: the date it was last changed.

Opening a file in list view is the same two-part action as in the grid:

1

Click a row once to select it. The row is highlighted so you can see which file is active.

2

Click the highlighted row again to open it. You can also double-click any row to select and open it in one go.

To clear your selection, click anywhere in the empty space outside the rows.

Switch between grid and list view

Look for the small toggle with two icons, just to the right of the search box:

  • The Grid view icon (a grid of squares) shows your files as cards.
  • The List view icon (stacked lines) shows them in a table.

Select an icon to switch. The page changes straight away, with the same files in the new layout. The list opens sorted by Last modified, newest first; select a column heading to sort by it, and you can drag column headings to reorder them.

The search box moves depending on the view. In grid view it sits above the grid, next to the view toggle. In list view it moves into the table's toolbar, alongside the Reset and Export controls. Either way it filters by file name.

CLVR saves your preferred view in this browser. The next time you open Company Files on the same device and browser, it reopens in the view you last used. Because it is saved per browser, a different device or browser may start in the default grid view until you switch there too.

What opening does

Opening a file does one of two things in both views, depending on its type:

  • PDFs and images open in a preview window right on the page, so you can read or view them without leaving Company Files.
  • All other types (spreadsheets, Word documents, CSVs, and similar) download to your device straight away. Open the downloaded file in the app that handles it.

Troubleshooting

  • One click is not opening the file. The first click only selects. Click the highlighted card or row again, or double-click it, to open.
  • I clicked away and lost my selection. Clicking empty space outside the cards or rows clears the selection on purpose. Click the file again to reselect it.
  • A document downloaded instead of previewing. Only PDFs and images preview in the window. Other file types always download.
  • I cannot find the view toggle. It sits next to the search box at the top of the Company Files page. If you only see cards, you are in grid view; select the List view icon to switch.
  • I cannot find a file. Type part of its name in the Search files box. If it is still missing, your HR contact may not have uploaded it yet.
