What auto-approved means on your expense

Why some wellness expenses are approved the moment you submit them, and how that shows up in CLVR.

When your company has AI auto-approval turned on, a qualifying wellness receipt can be approved the instant you submit it, with no waiting for a person to review it. The AI reads your receipt against your company's wellness rules and, when it is confident the receipt qualifies, approves the expense straight away. This article explains when that happens, what you see on screen, and why an auto-approval can still change later.

What you see when it happens

If your expense is auto-approved, the final Complete step of the upload looks slightly different from a normal submission:

  • Instead of the usual "now under review" message, you see an Expense Submitted! notice with a sparkle icon saying your report was submitted and approved automatically.
  • There is no "Made a mistake?" cancel prompt, because the expense is already decided rather than waiting in review.

Open the expense later from My Benefits and you will see:

  • An Approved status badge, the same green status any approved expense gets.
  • A small sparkle icon next to the status, with a Reviewed by AI tooltip, so you can tell at a glance that the AI handled it.
  • A green This expense has been approved notice at the top of the expense, marked with the same sparkle.

When auto-approval applies

Auto-approval is not the default for every expense. It only kicks in when all of these are true:

  • Your company has enabled it. AI auto-approval is a company setting your HR team controls, alongside AI receipt scanning.
  • The expense is a wellness (friskvård) receipt. Today the AI only evaluates wellness expenses, specifically gym membership receipts. Every other category goes to a person.
  • The AI is confident enough. It needs to be at least 85% confident that the receipt qualifies before it approves on its own.
Note.

Auto-approval confirms the review outcome, not a separate payment. As with any approved wellness expense, it usually means the cost is covered by your benefit budget. How and whether money reaches you still follows your company's normal reimbursement and payroll rules.

When it stays in review instead

If the AI is not confident enough, or the receipt is in a category it does not evaluate, nothing is auto-approved. The expense simply stays Pending and follows the normal review by a person, exactly as it would if AI auto-approval were switched off. You do not need to do anything differently: submit as usual and wait for the decision.

Auto-approved can still be reviewed later

An AI approval is never the final word. Your HR team keeps full access to every expense and can reverse an AI decision if they need to take a closer look. If that happens, the expense goes back to pending and a person reviews it, so an expense that was auto-approved can later move to a different status. This human oversight is intentional: the AI speeds up the clear-cut cases, but people stay in control.

Troubleshooting

  • My wellness expense was not auto-approved. Either your company has not enabled auto-approval, or the AI was not confident enough about this receipt and sent it to a person. Both are normal, and your expense is still being handled.
  • The status changed after it was approved. Your HR team can reverse an AI decision and send the expense back to pending. Open it to see the latest status, and contact your HR team if you have questions.
  • I do not see the sparkle icon. Only expenses the AI reviewed carry it. Expenses approved by a person show the Approved status without the sparkle.
