How to read an AI review on a wellness expense, what its reasons and confidence mean, and why your HR team can always step in.

When your company uses AI auto-approval, the AI reads a wellness (friskvård) receipt against your company's rules and either approves it, declines it, or asks you to change something. Wherever the AI has touched an expense, CLVR marks it clearly so you can tell a machine review from a person's review. This article explains the marks you see, how to read an AI decline or change request, and why an AI outcome is never the last word.

How to spot an AI-reviewed expense

Open My Benefits and look at your expense list. Any expense the AI handled shows a small sparkle icon next to its status badge, with a Reviewed by AI tooltip when you hover over it. Expenses that only a person reviewed do not carry the sparkle.

Open the expense itself and the same sparkle theme carries through, so you always know which decisions were made by AI.

If the AI approved it

An AI-approved wellness expense gets the normal green Approved status, the same as any approved expense. Inside the expense you see the This expense has been approved notice marked with the sparkle, and the activity timeline records a line that the AI approved this expense report. That is all you need to do: the expense is decided.

Note.

Approval confirms the review outcome, not a separate payment. As with any approved wellness expense, the cost is normally covered by your benefit budget, and how money reaches you still follows your company's usual reimbursement and payroll rules.

If the AI declined it

A declined expense shows the red This expense has been rejected status. Open it and you see a clear explanation of the AI decision:

  • A heading that the AI declined this expense with a confidence percentage (for example, "AI declined this expense with 92% confidence").
  • A short bullet list of the reasons the AI gives, drawn from your company's wellness rules and the receipt itself.
  • A written decline explanation underneath, in plain language.

Read those reasons first: they usually tell you exactly what fell short, such as a receipt for something outside the wellness rules or a missing detail. If you can act on the feedback, you can edit the report and send it again. See resubmitting a declined expense report.

If the AI asked for changes

Sometimes the AI does not decline outright but asks you to fix something. The expense moves to Changes requested, and the change note carries an AI badge with the sparkle so you know it came from the AI rather than a person. The note lists what to adjust. Apply the changes to your report, then submit it again for review, exactly as you would for changes a person requested.

The AI never has the final word

A person always stays in control. Your HR team can review any AI decision and reverse it: when they do, the expense returns to Pending and a person carries on the review. That means an expense the AI approved, declined, or sent back can still change afterwards. The AI is there to speed up the clear-cut wellness cases, not to replace human judgement.

Only wellness (friskvård) receipts are evaluated by the AI today, specifically gym membership receipts. Every other category goes straight to a person, with no AI step at all.

Troubleshooting

  • I do not understand why it was declined. Read the bullet reasons and the written explanation in the expense first. If it still is not clear, contact your HR team, who can look at the same expense and explain or reverse the decision.
  • The status changed after the AI decided. Your HR team reversed the AI decision and sent the expense back to Pending for a person to review. Open it to see the latest status.
  • I do not see any sparkle or AI note. Then a person reviewed your expense, not the AI. Only AI-reviewed expenses carry the sparkle.
  • The AI declined it but I think it qualifies. Edit and resubmit with anything that was missing, or contact your HR team to take another look.
