Receipt files
The receipt formats CLVR accepts, the maximum file size, how images and PDFs are handled, and how to open and view the receipt files attached to an expense.
When you upload a receipt to CLVR Benefits, only a few common formats are accepted, and each file has a size limit. Once an expense is submitted, CLVR keeps those files with it so you can open them again whenever you need to. This article covers which file types work, the maximum size per file, what CLVR does with your images and PDFs behind the scenes, and how to find and view your receipts later.
Accepted file types
CLVR accepts three receipt formats:
- .jpg and .jpeg (JPEG images)
- .png (PNG images)
- .pdf (PDF documents)
A photo of a paper receipt from your phone is usually a JPEG, and most emailed or downloaded receipts are PDFs, so almost every receipt is already in a supported format. On the upload area you can confirm the list at any time: select the Supported files link to see the accepted extensions.
Maximum file size
Each file can be up to 10 MB. The upload area shows this limit as Max file size: 10MB, and it applies to every file individually, so a report with several receipts is fine as long as no single file is larger than 10 MB.
Most phone photos and PDF receipts are well under this limit. If a file is too large, photograph the receipt again at a lower resolution or re-export the PDF.
How images and PDFs are handled
CLVR treats images and PDFs slightly differently when it reads your receipt:
- Images (JPEG and PNG) are resized in your browser before they are sent for AI scanning if they are very large. This keeps the upload quick and the scan efficient. You do not need to resize anything yourself, and your original receipt is still stored.
- PDFs are sent as they are, with no resizing.
The resizing happens only to speed up scanning and upload. It does not change which file you submitted or lower the quality of the receipt your HR team sees.
What happens to an unsupported or oversized file
If you try to add a file that is not a JPG, JPEG, PNG, or PDF, or one that is larger than 10 MB, CLVR will not attach it:
- On the upload area, an unsupported or oversized file is simply not accepted, so the file list stays empty or unchanged.
- When you are editing a report to add more receipts, CLVR shows a short error message, Invalid file type for the wrong format or Max file size: 10MB for a file that is too big, and skips that file.
The same accepted types and 10 MB limit apply everywhere you add a receipt, both when you first create a report and when you edit one later.
Open and view your receipt files
Every expense you submit keeps the receipt files you uploaded with it, listed in an Attached Files section inside the expense. On wide screens CLVR can show the receipt right next to the details.
Go to My Benefits and select any expense in your list. It opens in a panel showing the full details, and near the receipt information you will see an Attached Files card.
Each file in the card is a link, shown with its filename and a document icon. Select a file to open it in a new browser tab. Reports with more than one receipt list every file, so you can open each one.
Opening a file in a new tab keeps your expense open underneath, so you can switch back to it without losing your place.
Right after you submit an expense, the final step of the upload flow also shows an Attached Files card listing the receipts you just sent in, so you can confirm everything went through. From there, select View expense to jump straight to that expense in My Benefits.
The side-by-side preview on wide screens
On a wide screen, an expense that has attached files shows the receipt next to the details in a preview pane, so you do not have to open a new tab to read it.
- Images and PDFs show directly in the pane.
- If you uploaded more than one file, a row of tabs at the top of the pane lets you switch between them.
- For a file type that cannot be shown inline, the pane reads Preview is not available for this file type. with an Open in new tab button instead.
On narrower screens the preview pane is not shown. Use the file links in the Attached Files section to open your receipts there.
How your files are kept
Your receipts are stored privately, not on a public web address. The links in Attached Files and the wide-screen preview load each file through a short-lived secure link generated just for you when you open the expense.
Troubleshooting
- My receipt will not attach. Check that it is a .jpg, .jpeg, .png, or .pdf and under 10 MB. Other formats and larger files are not accepted.
- My file is over 10 MB. Take the photo again at a lower resolution, or re-save the PDF, then upload the smaller file.
- I have an HEIC or other phone format. Convert it to JPEG or PNG first, then upload, or open the receipt and save it as a PDF.
- The file section shows "Looking for files..." The secure links are still being prepared. Give it a moment and it will fill in.
- It says "No files found". That expense has no receipt attached. Adjustments made later by your HR team do not always carry a receipt.
- The preview will not display my receipt. Some file types cannot be shown inline. Select Open in new tab to view it directly.
- I do not see the side-by-side preview. It only appears on wide screens. On a smaller screen, open the receipt from the file link in Attached Files.
