Browse and view files
How opening a file behaves in CLVR, how to search by name, switch between grid and list view, and sort, paginate, and export the file list.
Both file pages, Company Files (the area your employees can browse) and Internal Files (the area you share privately with CLVR), work the same way for finding and viewing files. You can search by name, browse in a grid or a list, and in list view sort, page through, and export your files. This article covers opening files, searching, switching views, and the list-view tools, so once you learn it in one place you know it everywhere.
How to open a file
How you open a file depends on whether you are in grid view or list view. You can switch between the two with the view toggle at any time.
In grid view, click a file once to select it (it gets a highlighted border). Click the same file a second time to open it. A double-click opens it straight away.
In list view, click a row once to select it, then click the selected row again to open it. A double-click on the row also opens it straight away.
CLVR decides what to do from the file type:
- PDFs and images open in a built-in preview viewer right inside the app. You briefly see a Loading preview... state, then the document or picture appears. Close the viewer to return to your file list.
- Everything else downloads to your device instead of previewing. This covers Excel (
.xlsx,.xls), CSV, Word (.doc,.docx), and Apple iWork (.pages,.numbers,.keynote) files. The download keeps the file's original name.
The preview viewer is read-only. To keep a local copy of a PDF or image, use your browser's own download or print control inside the viewer.
Previews and downloads use a short-lived, signed link that CLVR generates the moment you open the file. Because the link is only valid for a short time, you cannot copy it and reuse it later or share it with someone outside your company. The next time you open the same file, CLVR creates a fresh link. This is why files always open through CLVR rather than from a fixed web address: it keeps your company's documents private and access-controlled.
Find a file with search
Both file areas include a search box that filters files by name as you type. Search works the same way in both, and in both views, so you can jump to the right document without scrolling. Search only filters what is shown: it never moves, renames, or deletes anything.
In grid view (the default), the search box sits at the top of the page, with a magnifier icon and the placeholder Search files.... Type any part of a file's name to filter the cards in real time. A close (x) button appears once you have typed something; select it to clear your search and show every file again.
When you switch to list view, the search box moves into the toolbar above the table, next to Reset and Export. Because list view shows 25 files per page, search runs across all your files first and then pages the matches, so a match on page 3 still surfaces.
Matching is forgiving and works the same in both views:
- It is case-insensitive, so
Policyandpolicymatch the same files. - It matches any part of the name, not just the start. Searching
2026finds Holiday-schedule-2026.pdf. - It matches both the display name you see and the original file name the file was uploaded with, so a file still turns up even if it was renamed after upload.
Searching by year, project name, or document type (such as policy, invoice, or handbook) is usually faster than scrolling. If you are not sure of the exact wording, type the shortest fragment you are confident about.
If your search does not match any file, the page shows No files match your search. Your files are still there: clear the search box to bring them all back. If the whole area is empty (no files uploaded yet), you instead see No files yet, with a second line, Drop files above to get started, when you have permission to upload.
Switch between grid and list view
Both pages let you browse the same files in two layouts: a grid of icons or a detailed list. Grid view is good for scanning at a glance, while list view gives you sortable columns and an export button. Find the two-button view toggle next to the search box:
- The Grid view button (a grid icon) shows files as cards.
- The List view button (a list icon) shows files as a table.
The button for the layout you are on stays highlighted, so you can always see which view is active. Switch as often as you like; nothing about your files changes, only how they are displayed.
In grid view, each file is a card with a file-type icon colour-coded by category (PDF red, spreadsheet green, document blue, image purple, other files grey), the file name, and the date it was last modified. Cards fit more columns on a wider screen.
In list view, files appear in a sortable table with Name, Type, Size, Uploaded by, and Last modified columns. Select any column heading to sort by it, and use the Export button in the toolbar to download the current list as a spreadsheet.
If you are on the HR team, the Rename file and Delete file actions appear next to the toggle once you select a file in Grid view. These controls are part of the grid layout, so switch to grid view first when you want to rename or delete a file.
CLVR saves your preferred layout in your browser, so the page opens in the same view next time. The two pages are remembered separately: you can keep Company Files in grid view and Internal Files in list view, and each reopens the way you left it. Because the preference lives in your browser, it does not follow you to a different device or browser, and clearing your browser data resets it to the default grid view.
Sort, paginate, and export the list
When you switch to list view, your files appear in a sortable table with a toolbar above it. By default the list is sorted by Last modified, newest first.
Sort by a column. Select any column heading to sort by it. Selecting the same heading again cycles the order: first press ascending (A to Z, smallest first, oldest first), second press descending, third press back to the default. A small arrow next to the heading shows which column is sorting and in which direction.
Reorder columns. Drag a column heading left or right to reposition it. The order you set is kept as you sort and page through the list.
Page through the list. List view shows 25 files per page. When there are more than 25, pagination controls appear below the table so you can step between pages. They are hidden when everything fits on a single page.
Sorting, the column order, and pagination all live in the page address. If you bookmark or share the link while a list is sorted a certain way, it reopens the same way.
Export to a spreadsheet. Select Export in the toolbar to download the current list as an Excel file (.xlsx). The export includes every file that matches your current sort and search (not just the page you are looking at), uses your current column order and headings, and writes Last modified dates in the Swedish format (for example 2026-05-30). The file is saved with a dated name such as files-2026-05-30.xlsx, so repeat exports do not overwrite each other.
Reset to the default layout. After you have sorted, reordered columns, searched, or changed pages, the reset control (the circular arrow next to the search box) becomes active. Select it to return the list to its defaults: sorted by Last modified newest first, the original column order, no search, and the first page. The reset control stays greyed out while nothing has changed.
Troubleshooting
- A preview never finished loading. Close the viewer and open the file again. The link is short-lived, so reopening fetches a fresh one.
- A file downloaded instead of previewing. That is expected for spreadsheets, documents, and iWork files. Only PDFs and images preview in the app.
- Nothing happened on the first click. The first click selects the file. Click it again (or double-click) to open it.
- A file I expect is not appearing in search. Check for a typo, then clear the box and search a shorter fragment. Search matches the file name only, not the contents of a document.
- I see "No files match your search". Nothing matched what you typed. Clear the search to see every file again.
- I see "No files yet". The area has no files at all. If you can upload, drop a file into the zone at the top to get started.
- The toolbar, columns, search, reset, or export controls are missing. You are in grid view. Switch to List view to see the table and its toolbar. The list-view search box is in that toolbar, not at the very top of the page.
- Export only seemed to include some files. It includes everything matching your current sort and search across all pages. If you have text in the search box, clear it (or use the reset control) before exporting to include every file.
- The list looks different than I left it. Pagination, sorting, and column order are stored in the page link, not saved permanently. Use the reset control to get back to the default layout.
