Follow your employees' salary sacrifices
See every salary sacrifice and one-time contribution to pension on the Pension page, read the change log, and set up the Pension benefit's parts and rules. Employees start, change and stop their own; nothing waits for HR.
The Pension benefit has three parts your company can turn on: a monthly salary sacrifice (löneväxling), a one-time contribution from one month's salary, and a yearly choice of pension arrangement.
Nothing waits for you. An employee starts, changes and stops their own salary sacrifice in the Benefits Store, or sends a one-time contribution, each from a month they pick. Every step is emailed to your pension company, with a copy to you and to CLVR, and payroll deducts the amount from gross salary from that month. The pension company does not reply: it acts on the month in the email, backdated if it is late.
This article covers the Pension page, where you see every salary sacrifice, and the Pension settings, where you decide what is on offer.
The Pension page
In the HR menu, open Pension. The list shows everyone with a salary sacrifice or a one-time contribution, running and starting first. The tabs are:
- All
- Running: running now, or chosen for a coming month.
- Ended
- Change log
Search by name or employee number, and select Export to download the list as an Excel file.
Each row shows the employee's Pension policy, the Salary sacrifice a month and what the pension company receives, the one-time contributions this year, the Status and the Next change. A row may also carry a flag:
- Under 8.07 IBB, with the salary after the sacrifice: that salary is under 8.07 income base amounts a year. The employee earns a little less state pension; sick pay and parental pay drop too only if the salary is also under 10 price base amounts a year (49 333 kr a month in 2026). They were warned and may still go ahead.
- Over the 35% limit: the premium would be more than 35% of pensionable salary, which your company cannot deduct. Talk to the employee.
- Salary unknown, check the limits: there is no salary on file, so the checks could not run.
The yearly choice
If your company has the yearly choice of arrangement, the Pension page lists every employee with the arrangement they are on and whether they have chosen in the current choice window:
- All
- Not chosen yet: who can still choose. If they do not, they stay on the arrangement shown.
- Change log: every arrangement and salary change, newest first, with who made it.
A Chosen row shows the date they chose and the date it applies From. An employee with a work permit stays on ITP1, and one on ITP2 or Fora can't choose; the row says so. If your company sends its pension file to Nordea, select Nordea file beside Export to download it.
The change log
The Change log tab lists every step on every salary sacrifice and one-time contribution, newest first: the date, the employee, the change and who made it (the employee, or automatic). It includes every email sent to the pension company.
A salary sacrifice ends on its own when the employment ends, and the pension company gets the stop.
One-time contributions
A one-time contribution is a salary sacrifice for one month. Like the monthly one, it needs no approval and does not use the benefit allowance: the employee picks the amount and the month, the pension company gets an email with a copy to you and to CLVR, and payroll deducts the amount from that month's gross salary. Until its month the employee can cancel it, and the pension company is told. The Pension page shows each employee's one-time contributions this year beside their salary sacrifice.
The Pension settings
In the HR menu, open Settings and select Benefit settings. Find the Pension benefit in its category's Benefits list and open Pension settings under its row.
Parts. Turn on Monthly salary sacrifice, One-time contribution and Yearly choice of arrangement as you need. Each part shows on the Pension page once it is on and has what it needs:
- The monthly salary sacrifice and the one-time contribution both need the pension company's email and the löneart on the Pension row. Both post on that löneart.
If you turn the monthly salary sacrifice off, running ones keep going until the employee stops them or leaves. No new ones can start.
Pension company. The Name and Email. Starts, changes and stops are sent to the email, with a copy to you and to CLVR. Pick whether to Identify employees by personnummer or employee number.
Monthly salary sacrifice.
- Pass on the top-up: what the company saves in employer contributions, paid into the pension on top. Usually 5.8%.
- Minimum a month and Maximum a month: the 35% limit always applies on top of your maximum.
- Notice: none, or one, two or three months before a change or a stop takes effect.
- Earliest first month: the Next payroll, or The payroll after, which gives the pension company more time.
One-time contribution. The Smallest amount. The most is that month's salary and what is left of the year's 35% limit, which the page works out for the employee.
Select Save pension settings.
Troubleshooting
- Employees can't see the salary sacrifice. The part is on but misses something. Add the pension company's email in Pension settings and the löneart on the Pension row.
- A salary sacrifice is not in the payroll file. Check its first month on the Pension page. It is in the file from that month: open that month's preview on the Reports page to see its row.
- The pension company says it never got an email. Open the change log: each email it was sent is listed with its date. Forward your copy to them.
