Choose what the AI approves
Switch auto-approval on per category, keep its Approved, Declined and Send to HR lists, set limits and who a receipt covers, let CLVR read your benefit policy, and add the list fixes CLVR suggests.
The AI can decide expense reports in any category your company takes receipts in. You choose the categories, and for each one you keep three lists of what to approve, decline and send to you. Everything is under AI settings, Auto-approve.
How the AI decides
The AI reads each receipt with two sets of rules:
- Rules CLVR always applies: the same for every company. What a valid receipt is, dates, amounts, VAT and fees, receipts for several people, what is declined everywhere (alcohol, tobacco, gambling, fines, gift cards), and that anything unclear goes to you. You can read them under Rules CLVR always applies.
- Your lists: per category, an Approved, a Declined and a Send to HR list, limits, and who a receipt may cover.
An item on none of the lists goes to HR. That's by design: your lists cover your common receipts, and you decide the rest. A line that fits a Declined item is declined, even if it also fits an Approved item.
CLVR approves a receipt's whole amount or nothing. When part of a receipt can't be approved, for example a line on Declined or an amount above a limit, the AI asks the employee to change the amount and tells them what to enter.
Switch a category on
Once you save, the AI decides new receipts in that category, as long as the category's approval flow has AI auto-approve, as its first step or after another one. If it doesn't, the line under the category's name says so, with Open Approval settings: add the AI step there to let it decide. See Create a custom approval flow. There is no trial period: you can undo any decision it makes. For the first 14 days the category shows On since and the date, so you know to look at its decisions more often.
A category can't be switched on when:
- Receipt scanning is off. Auto-approve needs it.
- Two parts of your policy disagree about it. Choose what the AI should do first (below).
- Nothing is on its Approved list. Wellness is the exception: CLVR follows the Swedish friskvård rules for it.
An open question never stops a category. Until you answer it, the receipts it covers go to you.
Keep the lists
Each category has three lists. An item is written the way your policy writes it, for example Gymkort, and can say what it leaves out, for example men inte personlig tränare.
An item sits on one list only. If you add a name that is already on another list, CLVR says so and asks you to move it instead.
Each item shows where it came from: Your policy and the section, or Added with the date and who added it.
Set limits and who a receipt covers
Under Limits, select Add limit and choose:
| Field | What you choose |
|---|---|
| What it applies to | All of the category, or one item on Approved |
| Amount | Whole kronor, for example 1 000 |
| Per | treatment, ticket, person, month or year |
A monthly or yearly limit counts what the employee has already spent in that period. Above a limit, the AI asks the employee to lower the amount.
Under Who it covers, choose The employee only or The employee and family. With family, enter how many people one receipt may cover.
Let CLVR read your policy
You don't have to type every list. CLVR can read your benefit policy and fill them in for you to check.
CLVR leaves out what only repeats its own rules, and shows what it left out under Already handled by CLVR. Budgets the policy names are shown next to what CLVR uses, but never changed.
When you upload a new version of the file, Your policy shows a banner. Select Read new version, and you'll see only what changed, with Accept or Keep current for each change.
Add the fixes CLVR suggests
The AI gets better from your own decisions. CLVR suggests a change to a list when you:
| You | CLVR suggests |
|---|---|
| Undo an approval that should have been declined | Adding the item to Declined |
| Undo a decline that should have been approved | Moving the item to Approved |
| Undo a decision with the wrong amount, and enter the most it should approve | Adding that limit |
| Approve or decline a receipt the AI sent you because the item was on no list | Adding the item to Approved or Declined |
Select Add to make the change at once, or Not now to keep it under the category's Suggestions. A category with suggestions, an open question or a conflict has a red dot.
Each category shows how many of its receipts went to you and how many decisions were undone, week by week. As the lists grow, fewer receipts reach you.
Who changed what
Your policy lists every change under Change log: who made it, when, and which receipt a suggestion came from.
Troubleshooting
- The switch can't be turned on. Read the line under the category's name: it says what's missing.
- The category is on, but the AI decides nothing. Its approval flow has no AI auto-approve step. The line under the category's name names the flow. Add the step to that flow in Approval settings.
- A receipt went to HR even though its item is on Approved. Something else sent it there: an unclear receipt, a missing detail, an open question, or the AI wasn't sure. The decision says why.
- The policy read failed. The file may not have been read yet. Wait a minute after uploading it, then try again.
